Documents

You can upload document templates in docx format. They are filled in automatically when downloaded, depending on the case:

  • a document specific to one volunteer (badge, volunteering agreement, and so on): downloadable from the volunteer's page
  • a document specific to a position or to a team (instructions, and so on): downloadable from the page concerned

Tags

Here is the list of the tags you can use in your templates. They are replaced by the appropriate values when the file is downloaded.

The same tags work in the emails you write to your volunteers (Volunteers tab, Email button): there they are replaced for each recipient when the email is sent, and the "Insert a tag" button offers the list that fits your event.

The emails the platform sends automatically ("Automatic Email Templates", in the event settings) have their own tags, suited to each one: position, times of the assignment, login link and so on. They are listed on the page where each of them is customised.

Tag names are in French, because that is what the platform looks for in your document: copy them exactly as they appear below.

Visibility

You can restrict the visibility of some documents, to keep ordinary volunteers from reaching them: administrative documents specific to certain teams (security and so on), for example, or the access documents you want to hand to volunteers in person when they arrive on site.

The "visible to volunteers" option is where you set this.
