Everything Volunteo does for your volunteers
An event that runs on volunteers comes down to three questions asked over and over: who is coming?, who does what, and when?, how do we tell them? Volunteo answers all three in one place, from the first sign-up form to the badge printed the day before.
The pages below describe each feature as it actually exists in the tool: what it does, who it is for, and what it changes in practice. There is nothing to install, everything happens in a browser, and your volunteers never pay anything.
Volunteer registration
One public link, a QR code and a form that asks your own questions: applications arrive already sorted by preferred team and by availability.
Teams and positions
Split the event into teams and positions, hand each team to its lead, and say how many volunteers you need, hour by hour.
Volunteer scheduling
Assign people without ever creating a clash, follow staffing position by position, and send everyone their own schedule.
Shift booking
Let volunteers pick their own shifts, with substitutes and a waiting list, while you keep control of confirmation.
Emails to volunteers
Write in two clicks to a team, a position, unassigned volunteers or everyone, from reusable templates.
Documents and mail merge
Call-up letters, certificates, running sheets: one Word template, and one document per volunteer filled in with their details and schedule.
Badges and perks
Print badges with a photo and a QR code, and track the meals, drinks and t-shirts handed to each volunteer.
Volunteer groups
A partner organisation brings its own volunteers? Give it its own sign-up link and its own leads, without opening up the whole event.
How an event runs on Volunteo
- You create your event and split it into teams and positions, saying how many volunteers you need, hour by hour.
- You share your sign-up link — website, social media, a QR code on a poster. Volunteers fill in your form, state when they are available and which teams appeal to them.
- You assign them, or you let volunteers book their own shifts. Either way, nobody ends up in two places at once.
- You keep everyone informed: targeted emails, personalised call-up letters, badges and perks.
- Next year you start from the same edition: teams, positions, staffing needs and email templates are copied over, and your volunteers find their account waiting.
Which events is it for?
Volunteo assumes nothing about the size or the kind of event. It is used by music festivals, races and trails, trade shows, sports competitions, town celebrations, and by charities whose volunteering runs all year round — collections, distributions, opening hours, charity shops.
Their needs differ: a festival builds a large temporary organisation over a few days, a charity rotates the same people every week. That is why there are two ways to pay: per accepted volunteer for a one-off event, per year for a continuous activity.
