Manage your charity fundraiser volunteers

A dozen activities spread across the town, five associations taking part, and one weekend for all of it to stand up at the same time.

Ten activities at once, one schedule

Cake sale on the square, sponsored walk, tournament at the sports hall, refreshments, sign-up stand: each activity has its place, its hours and its volunteer requirement. Taken separately they are simple; it is their simultaneity that creates the problem, because the same people are expected in two places.

Each activity becomes a team, each shift a slot, and the tool refuses to assign somebody to two overlapping shifts. See assignment and availability checks.

Each association keeps control of its volunteers

A charity weekend brings together organisations that do not all know each other: the events committee, the sports club, the firefighters' association, the school. Volunteer groups give each of them their own sign-up link and their own managers. They run their members, you keep the overall picture — and nobody sends you a free-form list the day before.

The rota, up to date for everyone

The sheet pinned up in the village hall is wrong by the next day. Here, every volunteer has their own page with their shifts and their manager's contact details, and email campaigns let you warn everybody, one activity, or a single shift, when something moves.

Less Work

By delegating tasks to team leaders, you no longer have to handle everything yourself as each team can be set up independently.

When assigning a volunteer to a position, their availability is automatically checked so there are no more risks for error!

Quick Contacts

Whether it is to set up a preparatory meeting, or for last minute information before the event, you can send an email in just two clicks to the group of volunteers you want:

  • Those assigned to a specific position
  • Those assigned to a given team
  • All volunteers
  • All team managers

Accessible from Anywhere

No software installation is required, you can access your data from any browser on your computer, smartphone or tablet.

Volunteers can easily check their assignments at any time without having to call the team manager. This autonomy reduces the workload of each manager.

A Great View of the Whole

The general view of the teams allows you to know the filling rate of each of them. This way you know which teams are not full yet.

The "Logs" tab lets you follow the latest changes made by other administrators or managers.

Organisation in Teams and Positions

Teams are used to distribute organisational work between the various officials, who may have access to only one team for example.

Each team is divided into positions, which may correspond to a daily or geographical division of the team for example.

Organisation in Teams and Positions

Smart Filling of Positions

The number of volunteers required for a given position usually varies depending on the time of day. A catering position for example may require more volunteers from midday to 2pm than from 2pm to 6pm.

By defining the volunteer requirements on an hourly basis, you create a very accurate table, which you can fill up by picking among available volunteers.

Frequently asked questions

We are several associations, who should create the account?

One organisation creates the event and invites the others as groups, each with its own managers. There is one event, one schedule and one invoice.

Can we let volunteers choose their own shifts?

Yes, by switching on shift booking: each one sees the remaining places and signs up, with confirmation by a manager if you want it.

And next year?

The next edition is created from this one, with its activities, shifts and settings; last year's volunteers can be re-invited in one go.
